If you get no reply to your latest e-mail then follow it up in writing by recorded delivery and make a complaint.

Once you have sent them everything they need they only have 21 or 28 days (check your terms) to call the variation meeting.

If they haven't got everything they need to do this then they should have come back to you by now asking for extra information.
